How To's / Workspaces and permissions
« on: January 06, 2011, 03:13:30 pm »
Ok... I've added a client company, added a user to it. I edited their workspaces permissions to "Can manage workspaces"

Now, is there a way, that they CAN manage and create workspaces, BUT only for people of that would be a user of the client company... and NOT all global users?

Getting Started / How not to show Subscribers emails
« on: January 03, 2011, 06:15:45 am »
Pretty much what the topic states... I would like to NOT show subscribers emails. How can I change that?

Is there a way some only some users can see them? I have some clients that have some connect with my team, but don't wish them to be able to contact them by their email and only through notes and discussions.

Getting Started / Users and Client companies Users
« on: December 22, 2010, 08:53:55 pm »
Ok... playing around with Users and Client companies users. Are client company users able to see 'users' that my be assigned to them?

Ok... I have 2 accounts in my setup... 1st one was the Admin (with admin as username), then I created another account in my name but with Admin rights. I then created a Client company from my 2nd  'personal' account. Then added a user (know as John Doe). How is John Doe to see ANY one? Kinda thought who ever recreated the Client company would be a user in that Client companies workspace.

I can't seem to figure out, after I created a company account, added a user, should they need to contact me.

Would I have to add them as  Contact? Or is it just use 'Notes' for communicate? Would be nice if they had a 'face' or contact, that they knew was there if they had any questions.

Now I can send a note to John Doe, and he can reply, but what would happen if John Doe deleted that note?

Just wondering how a Client Company user would be able to make 'first' contact, if that was to happen.

Maybe I am missing something easy but looking forward to any reply.

How To's / Objects and Workspace best practices
« on: December 22, 2010, 03:26:06 pm »
At first I was getting a little confused with FO, but I am finding it VERY powerful.

The more I play (and break) with it, the more I am learning. I am now almost to the point to go live (LOT more to do, but I think I can work my way through it) but I trying to come up with a 'model' that I would like to use to deal with objects. As I could think if one was to have many employee's (by full time and contractors) and clients, handling LOTS of objects could be a pain over time.

The best way for me to explain is through an example:
Lets say I just hired some one (contractor that I might want to bring on full time, but only for temp/trial bases) but I don't want to give them all of the objects (Notes, Documents, Tasks etc) at one time. Now lets say that after this given time I no long wish to use them and there account is deleted. But I don't want to loose those objects.

What would be a good practice on handling objects in this manner? Creating a workspace JUST for these objects, and assign them to users when needed? I suppose one could also have a few parent workspaces that they could be assigned over time. And then moved up higher in the workspace chain for that workspace.

And above would also apply to companies/clients.

Hope that wasn't too confusing, as I am still trying to work it out myself. So any ideas and practices any of you use would be great to hear. I can really see the possibilities of OF and I just want to look down the road how to be able to use it in an effective manner.

Thanks and looking forward to any replies.

How To's / New Users "Welcome Package"
« on: December 22, 2010, 01:17:11 am »
Hello... might be biting off more that I can handle but thought I would 'look' into it any ways.

Still very new to FO and really like it, and I can tell that it will be great once I get the learning curve down. So I started thinking.... how will others, that are new to this, that I 'add' as users be able to handle it. Like new employees or Customers? What can I do to help with lessen THEIR learning curve?

So I thought of a "Welcome Package"!!! Now, not sure how a noob with coding could do this but I don't mind doing a little hacking along the way.

So i was think to having (as of this writing) a couple of items 'waiting' for them once they logged in.

Getting Started
I would like to add a line or two of a 'personal' message for them, AND have a link to maybe a video (Notes or Documents area) that they could have waiting for them that I could create and give them a video tour of the site.

Now what would be even a BIGGER bonus, if I could create one based on user (employee vs company/client), but is not, perhaps later down the road that could be an option.

So... is it possible to have a file/doc/video/object that is 'ready' for them to view once they log in for the first time?

How To's / Notes seen by ALL users
« on: December 22, 2010, 01:04:07 am »
ok... playing around in admin... created some 'personal' notes, basically a change log of items that I have done to the site. Decided to create a "company", added a user (me) and then when to Notes.

Once I was there all of the Notes (by admin) that I had created can be seen by 'company user'.

What did I miss? How do you create notes so that only certain pleople (like admin) only see what you want them to see.

Sorry, but soo much info, I find that I can get lost.

Getting Started / Email Templates
« on: December 21, 2010, 07:16:00 pm »
ok... having alot of fun with FO so far. I am just playing around with different items and finding things that I would like to customize for our company.

I would like to create some custom email templates and was wondering what files can I change for this. Below is what I would like to do.

Send email notification - I would like to change this so I can give a some instructions (maybe some links inside on how to use FO) and what not. Can this be done to have different notifications per user type (like for employees and one for Customers?)

Employee email templating - Would be nice if I could have in html format on all out going emails Iike a picture, job title etc? Is there a way/file to do this?

Thanks and looking forward to any replies.

Getting Started / Not able to send email to user
« on: December 21, 2010, 05:49:27 pm »
Hello all (first post too). I am not able to send any emails to new users.

I have done a test email (under the tools section) and can send emails from there (I sent it to user) but when I created the user, the user didn't receive the "Send email notification".

And when I select the user and then click on his email, it does send it out. Though it does state that it was successful.

Any way to found how why it isn't working? The use is one I set up for testing and is an email address that I know works, so it does receive them from every where else.

Thanks and looking forward to any replies.
